What to Prepare Before Requesting a Factory Visit in China

What overseas clients should provide before asking a local representative to visit a factory, supplier, warehouse, or office in China.

A factory visit is most useful when the task is clearly defined before anyone arrives on site. If the visitor only has a company name and a vague instruction to "check the factory", the result may be incomplete and difficult to use.

Before requesting a factory or site visit in China, prepare the information needed to confirm access, scope, timing, and evidence requirements.

Define the purpose of the visit

Different visits require different preparation. A supplier identity check is not the same as a production follow-up, sample pickup, warehouse confirmation, appointment attendance, or issue investigation.

Start by writing the purpose in one sentence. For example: "Confirm whether this supplier operates at the provided address and collect photos of the office sign, reception area, and available product samples where permitted."

Provide complete location and contact details

The local team needs the Chinese company name, address in Chinese if available, map pin or nearby landmark, contact person, phone number, appointment status, and any visitor registration requirement. If the supplier has not agreed to receive a visitor, that needs to be known before the trip is planned.

Some sites restrict photos, videos, access to production areas, or visitor entry. These limits should be discussed before the visit, not after the visitor arrives.

Prepare an evidence checklist

Evidence should match the task. A checklist avoids vague reporting and helps the overseas client compare the result against expectations.

  • Exterior building or entrance photos where permitted.
  • Company sign, reception area, or office confirmation where permitted.
  • Product, sample, packing, or warehouse photos where relevant.
  • Meeting notes or names of people met if disclosure is allowed.
  • Short videos only when permission and conditions allow.
  • Written notes on what could not be checked and why.

Confirm timing and practical constraints

Factory visits depend on travel distance, appointment availability, business hours, visitor rules, language needs, weather, local transport, and whether the site is in a main city or surrounding area. Urgent requests may be possible, but they still require scope confirmation.

If a visit depends on another party's permission, the schedule can change. The quote should make those assumptions visible.
