A factory visit agent in China is useful when an overseas buyer needs someone to be physically present for a clearly defined visit. The role is practical: confirm the visit arrangement, attend the location with lawful access, follow an agreed checklist, collect permitted evidence, and report what was observed.
The role is not the same as a certified factory audit. A local visit can provide useful context and evidence, but it cannot guarantee a supplier's future performance, production capacity, product quality, or commercial outcome.
Start with the decision the visit should support
Before asking for a visit, define the decision you need to make. You may need to confirm whether the supplier operates at a provided address, observe packing progress, attend a meeting, collect samples, check visible conditions at a warehouse, or clarify a delayed order.
The request should state what needs to be observed, what evidence is needed, and what would remain outside the visit scope. "Please check the factory" is too broad to produce a useful report.
Provide the information needed to arrange access
Share the supplier's Chinese and English company names where available, the full address, contact person, phone number, appointment status, target visit date, and any registration or confidentiality requirements. If the site has not agreed to receive a visitor, that affects feasibility and timing.
Some factories and warehouses limit visitor access, photography, filming, or contact with staff. Those limits should be discussed before travel begins.
Agree the evidence checklist in advance
- Exterior, entrance, signboard, reception, or address evidence where permitted.
- Product, sample, packaging, warehouse, or process evidence relevant to the assignment.
- Names or roles of people met when disclosure is appropriate.
- Meeting notes, visible observations, and items that could not be checked.
- Photos or video only where the location permits them.
The checklist should answer the client's actual question. An address confirmation visit needs different evidence from a pre-shipment observation or supplier meeting.
What the visit report should make clear
A useful report records the visit date, location, agreed objective, visible observations, evidence collected, limitations, supplier responses, and unanswered questions. It should distinguish what was observed directly from what was stated by another party.
This makes the report usable for the next decision: request more evidence, arrange a technical inspection, change the purchase plan, follow up with the supplier, or stop the transaction.
