What Should a Supplier Visit Report Include?

A practical framework for defining a supplier visit report that records the agreed scope, permitted evidence, visible observations, limits, and next steps.

A supplier visit report should help an overseas client understand what was actually checked during a local visit. The value is not the number of photos. It is a clear record of the visit objective, the evidence collected, the visible observations, the limits of the visit, and the questions that remain open.

The report should not claim more than the visit can prove. A one-time site visit may provide helpful evidence, but it is not automatically a quality audit, financial due diligence report, production-capacity certification, or guarantee of future supplier performance.

Record the assignment before the visit begins

The first part of the report should identify the supplier, location, visit date, client objective, agreed checklist, and any access conditions. This gives the reader the context needed to evaluate the evidence.

For example, an address and office confirmation requires a different report from a visit focused on sample collection, packaging progress, a supplier meeting, or a delayed order.

Separate direct observations from supplier statements

The report should distinguish between what the visitor saw and what a supplier contact said. A supplier may state that production is on schedule or that goods are ready, but that is different from direct evidence of the production line, packaging status, or handover record.

Clear wording protects the client from treating an unverified statement as a confirmed fact.

Include evidence that matches the checklist

  • Location and access evidence, such as entrance, signboard, or reception details where permitted.
  • Product, sample, packaging, warehouse, or process evidence relevant to the task.
  • Notes on the people met, appointment outcome, and key responses when disclosure is appropriate.
  • A list of documents, labels, receipts, or tracking references reviewed or collected where permitted.
  • A note explaining any evidence that could not be collected and why.

Photos and videos should be labelled or described so the client can connect them to the relevant checklist item. Unlabelled images are hard to use later.

State limitations and unresolved questions

The most reliable reports make uncertainty visible. State whether access was restricted, an appointment was shortened, photography was refused, a contact was unavailable, or an item could not be checked. Then record the reasonable next step.

This may be another supplier request, a follow-up call, a technical inspection by a qualified provider, or a separate local visit.
