How to Verify a Supplier in China Before Sending Payment

A practical pre-payment checklist for overseas buyers who need basic supplier identity, address, communication, and evidence checks before committing funds.

Overseas buyers often receive supplier information by email, marketplace message, chat app, referral, or trade show contact. The supplier may look professional online, but before sending payment it is worth checking whether the company, address, product information, and communication history are consistent.

Supplier verification does not guarantee that every future shipment will be successful. It is a practical risk-reduction step. The goal is to collect enough basic evidence to decide whether you should continue, ask more questions, request a site visit, or stop the transaction.

Start with the supplier identity

Ask the supplier to provide its full company name in Chinese and English, business license copy, registered address, operating address, website, contact person, phone number, and payment account details. Do not rely only on a trading name or a marketplace profile.

If the Chinese company name, bank account holder, invoice entity, and sales contact do not match, pause and ask for an explanation. Some differences may be normal in trading groups or related companies, but unexplained mismatch is a warning sign.

Check the address and communication trail

An address check can help confirm whether the supplier is connected to the location it claims. The useful question is not only whether an address exists, but whether it appears to match the supplier's stated business activity.

Communication consistency also matters. Review whether the contact person uses the same company name, email domain, phone number, invoice information, product specifications, and delivery terms across the conversation.

Evidence to request before payment

  • Business license copy and Chinese company name.
  • Bank account holder name and payment instructions.
  • Product photos or videos connected to your requested specification.
  • Factory, warehouse, or office address if a physical check is needed.
  • Proforma invoice, quotation, and delivery terms.
  • Any certification, test report, or compliance document that the supplier claims to hold.
