How to Follow Up on Delayed Orders and Shipments in China

A practical guide for overseas clients when a supplier, warehouse, repair provider, or logistics contact in China stops responding or gives unclear updates.

Delayed orders and unclear shipment updates are common problems for overseas clients working with suppliers, warehouses, repair providers, or local service providers in China. Sometimes the delay is simple: missing documents, production backlog, packaging changes, domestic courier issues, or unclear handover timing. Sometimes the problem is more serious: the supplier stops replying, gives conflicting information, or avoids confirming where the goods are.

When you cannot be in China yourself, a local follow-up task can help clarify what is happening and what can be done next.

Collect the existing communication first

Before asking anyone to follow up locally, organize the facts. Provide the supplier name, Chinese company name if available, contact person, phone number, address, order number, product description, payment status, promised delivery date, tracking number, and the latest messages.

Do not rely only on a verbal summary. Screenshots, invoices, packing lists, delivery notes, and chat records help the local team understand what has already been promised and where the uncertainty begins.

Define the exact question

"Please check my shipment" is too broad. A better request is specific:

  • Confirm whether the goods are finished.
  • Confirm whether the goods are at the factory, warehouse, forwarder, or courier station.
  • Ask why the supplier has not shipped.
  • Collect updated photos of packed goods where permitted.
  • Confirm whether documents, labels, payment, or booking information are missing.
  • Ask for a realistic next action and timing.

The clearer the question, the easier it is to report a useful result.

What local follow-up can include

A local representative can call the Chinese contact, communicate by WeChat or phone where available, visit a provided address if needed and feasible, collect basic evidence where permitted, coordinate between supplier and forwarder, and summarize the issue for the overseas client.

For example, if a supplier says goods were handed to a warehouse but the warehouse says nothing arrived, the task may involve contacting both parties and checking which handover record exists.

Evidence that helps resolve delays

Useful evidence may include written supplier replies, updated photos, packing status, courier or domestic tracking numbers, warehouse contact notes, document lists, receipts, delivery handover information, and a summary of unresolved issues.

If a local visit is needed, the evidence plan should be confirmed before travel: what address to visit, who to ask for, what photos are allowed, and what result would count as successful.
